What we collect when you apply, why we hold it, and how to get it back.

Who we are

MAD Impact is the controller for the personal data described here. Contact us at meetingofminds@madimpact.org.

What we collect

Only what you type into the invitation request form: your name, email address, mobile number, organisation, role, industry, country, your LinkedIn profile if you choose to give it, which of the two moments you are interested in, and any dietary or accessibility needs you tell us about. Dietary and accessibility answers can reveal health information, so we ask for your explicit consent before storing them and delete them after the event.

If you are invited, the venue requires separate security accreditation. Those identity details are collected by the venue through its own secure process, not by this site.

Invited participants receive a personal link to the programme and logistics pages. When it is used, this site checks your invitation status with HubSpot and records the page and the time, so we can see that invitations are reaching the right people. This is not linked to analytics.

Why we hold it

To assess your application against the 150-participant capacity, to reply to you either way, and — if you are invited — to run the event. That includes service emails about your application and, if you are invited, practical updates by WhatsApp to the mobile number you gave us during the event itself. The lawful basis is legitimate interest in organising the gathering, and consent for any marketing you separately opt into.

Who else sees it

Applications are stored in HubSpot, our CRM. Analytics is handled by Google Analytics 4 and never receives anything you type into the form — see the cookie policy.

Photography and filming

Photography, filming and audio recording take place at the gathering and related events, and you may appear in the results. MAD may use that content, including your name, likeness and voice where applicable, to document the gathering and to communicate and promote MAD's work, on its own channels and in press materials, internationally. The lawful basis is legitimate interest. The full notice is on the registration page. If you would rather not be photographed or filmed, tell us before or during the event and we will respect that where practicable.

How long we keep it

Until the gathering has taken place and follow-up is complete, then for a defined retention period to be confirmed before launch.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, or withdraw consent for marketing at any time. Write to the address above. You also have the right to complain to the UK Information Commissioner's Office.
